Running an air-conditioning installer business means the money never behaves as neatly as the advice suggests. Trade work has a money shape most accounting tools get wrong. You buy materials up front, sometimes thousands of pounds worth, then you do the labour, then you invoice, then you wait. The cash goes out weeks before it comes back in. A busy month can feel terrible in the bank and a quiet month can feel fine, which makes it very hard to tell whether you are actually making money.
The other problem is that jobs blur together. You know the Henderson job went badly, but you cannot say by how much, because the materials for it were bought on three different trips mixed in with stock for two other jobs. Without splitting that out, the only number you ever see is the whole business, and the whole business is an average that hides the jobs quietly losing you money.
Then there is the personal side. Most trades run one account for a long time, so fuel for the van and fuel for the school run come out of the same card. That is fine until you try to work out your real margin and every number is polluted.

Upload a statement and Cashowa does the sorting. Free to start, no card needed.
Three situations that come up constantly in air-conditioning installers.
Fuel, insurance, tax, servicing and repairs all land in different months and rarely get added up. Cashowa groups them, so the annual figure is there in one number. Most people are surprised, and it is a number that belongs in every quote you write.
Pull up what materials cost you across the last twelve months and compare it to the year before. If your merchant spend is up eleven percent and your prices are not, that gap has been coming out of your own pocket.
Everything is already sorted by category and dated, so when the deadline arrives you export rather than reconstruct. The difference between an evening and a lost weekend is usually whether anything was categorised as it happened.
Switch between monthly, quarterly and yearly to see the pattern.
Outside work slows in the winter and picks up hard from spring. Most trades see a real dip in January and February, then a materials-heavy March as the year's work starts landing.
Upload twelve months and the pattern stops being something you half remember. You can switch between monthly, quarterly and yearly, which matters when income arrives in lumps and a single month tells you very little.
If you hold stock or materials, Cashowa tracks what you have, what it cost and what is running low. Enter a count once and it counts down as things get used, so you are not retyping numbers every week.
Add a lead time and it warns you before something runs out, rather than after.

Built around how air-conditioning installers work, not around a generic business.
One mixed account is normal in the trades. Cashowa lets you split it line by line, and it knows the difference between a business cost and money you simply took out of the business.
Type what you want to know. How much did I spend at the merchant last quarter. What did fuel cost me this year. You get an answer with the actual transactions behind it.
Export a clean, categorised set of records at year end rather than a carrier bag of receipts and a bank statement nobody has read.
Hire is easy to underestimate because it comes in small amounts. Over a year it is often a real number, and one worth comparing against buying.
January and February are thin in most trades. Having last year on a chart is what turns that from a nasty surprise into something you saved for.
These get recognised and sorted on their own when they turn up on your statement. If something specific to your setup gets filed wrongly, you fix it once and it sticks.
Export a statement, upload it, and the categorising happens on its own.
